Configure the Fluida Station to record certified timestamps with Smartphones or NFC Badges

The Fluida Station allows users to record certified timestamps with a smartphone, via Bluetooth technology, or with an NFC badge (NTAG 213 or 216).

Configure and install the Fluida Station

Before getting started check that:

  • You are in possession of the Fluida Station.

  • You have enabled location services (GPS) and Bluetooth on your smartphone, and you have authorized the Fluida app to use Bluetooth and access your location data.

  • You have access to a 2.4GHz or 5GHz frequency Wi-Fi network, or you have a 2G, 3G or 4G-enabled SIM card.

  • The Fluida Station has not already been assigned to one of your company's other workplaces.

  • You have an Administrator profile or a Power User profile.

  • You have created the workplace you wish to assign the Fluida Station to.

This short video tutorial illustrates all the steps required to set up the Fluida Station and start using it to record certified timestamps.

Power on the Fluida Station for the first time

  1. If the battery is not already inserted in the Fluida Station, remove the front and back portions of the Fluida Station wall mounting case. Do so by gently widening the four anchor points located on the back of the case.Then, expose the battery by removing the back panel of the Fluida Station. To do so, hold the device in one hand so that the display is facing you, then turn it upside down. The screen will still be facing you but the black rectangle marked by a Wi-Fi symbol will now be pointed upward. Firmly hold the device with one hand. Then, place the fingers of your other hand on the edge of the screen, where the screen meets the black rectangle marked by a Wi-Fi symbol. Gently pull downward to remove the back panel and expose the battery compartment. Now insert the battery and close the Fluida Station. To do so, hold the back panel in your hand so that the black rectangle marked by a Wi-Fi symbol is pointed upward. Then place the screen in its designated area. Make sure the orientation is correct: the touch buttons should be next to the the black rectangle marked by a Wi-Fi symbol. Now, with the back panel in one hand, hold the fingers of your other hand on the screen and place your thumb on the bottom, on top of the charging port. Gently press upward with your thumb to close the device.

  2. Connect the Fluida Station to a power source via the included USB cable.

  3. If the Fluida Station is sufficiently charged, power it on by pressing the power button located in the upper right corner of the device.

The Fluida Station is now powered on and can be connected to the Internet.

💡 The Fluida Station's battery has a runtime of about two days, although use in particularly cold environments may shorten this interval: leave it plugged in at all times, so you won't have to worry about recharging it.

Connect the Fluida Station to the Internet

When powered on for the first time, the Fluida Station will display a home screen from which you can choose how to connect to the Internet.

Connect the Fluida Station to Wi-Fi

  1. Select Wi-Fi Network.

  2. Select the Wi-Fi network you wish to connect to and enter the password (if required).

Once connected to the Internet, the device takes a few minutes to install the Kiosk by Fluida app.

Insert a SIM card

  1. Power off the Fluida Station.

  2. Remove the front and rear portions of the Fluida Station wall mounting case. Do so by gently widening the four anchor points located on the back of the case.

  3. Then, remove the back panel of the Fluida Station. To do so, hold the device in one hand so that the display is facing you, then turn it upside down. The screen will still be facing you but the black rectangle marked by a Wi-Fi symbol will now be pointed upward. Firmly hold the device with one hand. Then, place the fingers of your other hand on the edge of the screen, where the screen meets the black rectangle marked by a Wi-Fi symbol. Gently pull downward to remove the back panel.

  4. Remove the battery.

  5. Insert the SIM card into the SIM card slot, located inside the battery compartment, and close the Fluida Station. To do so, hold the back panel in your hand so that the black rectangle marked by a Wi-Fi symbol is pointed upward. Then place the screen in its designated area. Make sure the orientation is correct: the touch buttons should be next to the the black rectangle marked by a Wi-Fi symbol. Now, with the back panel in one hand, hold the fingers of your other hand on the screen and place your thumb on the bottom, on top of the charging port. Gently press upward with your thumb to close the device.

  6. Select SIM card.

  7. Restart the Fluida Station by pressing the power button on the top right of the display.

Once connected to the Internet, the device takes a few minutes to install the Kiosk by Fluida app.

Open the Kiosk by Fluida app

To open Fluida's Kiosk app on the Fluida Station, select Kiosk by Fluida on the main screen.

The Kiosk app is open, and a screen displaying information about the newly installed device is now visible. This screen displays the NFC device ID and the Fluida Station Pro's model number.

Assign the Fluida Station to a workplace based on the timestamping method you wish to use

Assign the Fluida Station to a workplace where you wish to record timestamps via NFC badge

  1. Access Fluida from a PC or smartphone.

  2. Go to Company > Organization > Workplaces.

  3. Select the workplace to which you wish to assign the Fluida Station.

  4. Select Add + next to NFC.

  5. Give a name to the timestamping device and enter the NFC device ID.

  6. Select Confirm.

  7. Click Done on the Fluida Station screen to complete the process and display the timestamping screen.

The Fluida Station has now been assigned to the workplace and is visible in that workplace's settings, in the NFC section. The device can now record the timestamps of users working from this location, if said users have been authorized to use their "NFC Badge" as a timestamping method.

We recommend that you assign a badge to your Fluida user profile and record a test timestamp to verify that the device is working properly before permanently placing it the workplace it was assigned to.

💡 A single Fluida Station can be simultaneously assigned to several companies that, for example, are located in the same building.

Assign the Fluida Station to a workplace where you wish to record timestamps via Smartphone

  1. Open the Fluida app on your smartphone.

  2. Go to Company > Organization > Workplaces.

  3. Select the workplace to which you wish to assign the Fluida Station.

  4. Select Add + next to Bluetooth.

  5. In the list of detected Bluetooth devices, select the device that starts with FX<model number>.

  6. Select Next.

  7. If you wish to, you can customize the name of the device.

  8. Select Assign to confirm.

The Fluida Station has now been assigned to the workplace and is visible in that workplace's settings, in the Bluetooth section. The device can now record the timestamps of users working from this location, if said users have been authorized to use their "Smartphone" as a timestamping method.

We recommend that you record a test timestamp to verify that the device is working properly before permanently placing it the workplace it was assigned to.

💡 A single Fluida Station can be simultaneously assigned to several companies that, for example, are located in the same building.

What is inside the Fluida Station's box?

Inside the Fluida Station's box you will find:

  • The Fluida Station.

  • The battery.

  • The wall mounting case.

  • The charger.

  • The power cable.

💡 The Fluida Station ships inside its wall mounting case and the included battery is already placed in the device.

Tips to guide the placement of the Fluida Station

Once the Fluida Station has been properly configured and a test timestamp has been recorded, the device is ready to be placed permanently.

Place the Fluida Station indoors, near the entrance of your workplace, such that users will be able to interact with it easily. If users will be recording timestamps via NFC Badge, make sure the Fluida Station is easy to reach so that they may comfortably hold their badges close to the reader.

The Fluida Station FX-100 ships inside a wall mounting case equipped with four holes. A drill, screwdriver, four anchors 6 mm in diameter and 30 mm long, and 4 screws 4.5 mm x 40 mm are needed to secure the case to the wall. The holes in the wall should be 60 mm in diameter (n. 6 drill bit) and 40 mm deep.

After securing the rear portion of the wall mounting case to the wall by using a drill and screwdriver, you can position the Fluida Station.


What can go wrong during the installation of a Fluida Station

Your company's Wi-Fi network is not detected by the Fluida Station

First, check that your company's Wi-Fi network is not hidden. If it is, you will have to manually enter the network's name in the Fluida Station, in addition to the password.

Furthermore, verify that the company Wi-Fi transmits at 2.4 GHz. The 5 GHz band is only supported on the Fluida Station Pro.

The Fluida Station's screen remains black and/or won't power on

Make sure the Fluida Station is charged and connected to a power source.

If the Fluida Station is already connected to a power source, verify that the power cable and power source are not malfunctioning. Try plugging the Fluida Station into a different power outlet or using a different power cable.

The Fluida Station is powered on and connected to the Internet, but when I try to assign it to a workplace, it is not detected

Try uninstalling and reinstalling the Kiosk app on the Fluida Station, then try to assign it to your workplace once more.

If the Fluida Station is detected but, after selecting it, the assignment process fails, close the Fluida app and relaunch it. Finally, try to assign it to your workplace again.

The Fluida Station is powered on and connected to the Internet, but it keeps displaying the "No applications installed" screen

  1. Press and hold the volume up button, located on the right side of the Fluida Station, for a few seconds (you may have to take the device out of its wall mounting case).

  2. Press the synchronization symbol 🔄 next to Connectivity.

  3. If the synchronization is successful, press one of the touch buttons located on the bottom navigation bar. You should now see the entries Dashboard, Settings and Kiosk by Fluida.

💡 If the synchronization fails, contact support@fluida.io and communicate the string or characters you see under "Owner's name", in the screen that opens up after pressing the synchronization symbol 🔄 next to Connectivity.

The Fluida Station is powered on and connected to the Internet, but I don't see the Kiosk by Fluida app. I only see Dashboard and Settings

  1. Open the Dashboard to display the Fluida Station ID, which is the string of characters that can be found under Owner's name.

  2. Contact support@fluida.io and report your Fluida Station's ID.

💡 If even the Dashboard is not visible, you can access the page containing the Fluida Station's ID by pressing and holding the volume up button for 3 seconds. The volume control rocker is located on the right side of the device and the wall mounting case must be removed in order to access it.

The Fluida Station discharges too quickly

The Fluida Station's battery has a runtime of about two days, but this interval may vary depending on where the device is installed: in a particularly cold environment, for example, battery life will be significantly reduced.

To prevent the Fluida Station from running out of power at inopportune times, and therefore prevent users from recording timestamps, we recommend keeping it plugged in at all times using the included power cable.
