Assigning an NFC Badge to a user

Assign a Badge to a user via the stamping device (such as the Fluida Station), or via the Fluida app from smartphones and PCs

Assign a badge to a user by way of the Fluida Station

Before getting started check that:

Assigning a Badge to a user that is already active on Fluida:

  1. Launch the Kiosk by Fluida app on the Fluida Station to open the timestamping screen, which displays the name of your company, the workplace to which Fluida Station has been associated, your company logo, the current time, and the words Hold badge near reader.

  2. Select the settings icon ⚙️ in the upper right corner.

  3. Enter the user name and password of your Administrator or Power User profile and select Log In.

  4. Select Link a badge.

  5. Select the user you wish to assign the NFC Badge to.

  6. Click Confirm.

  7. Hold the badge close to the area below the screen, marked by the Wi-Fi symbol.

If you hear a sound and a confirmation message, it means the Badge has been correctly assigned to the user. After the process is complete, a screen with the user's details will appear, along with a green NFC symbol, the badge ID number, and the words ID assigned. To assign a new Badge, click on the little arrow in the upper left, and you will return to the list of users.

💡 If you use the process described above to assign a Badge that had previously been assigned to another user, the process will be successful: the Badge will be unassigned from the old user and reassigned to the new one. The Fluida Station will display the message "The badge is no longer assigned to <name of the person>old user".

💡 In the list, users to whom an NFC Badge has already been assigned are marked by a green NFC technology symbol, displayed next to their name. Users to whom a Badge has not yet been assigned, instead, are marked by a gray NFC technology symbol.

Assign a badge to a user from a smartphone or PC

Before getting started check that:

  • You are accessing the Fluida app via an Administrator profile or a Power User profile.

  • You are in possession of the Badge you would like to assign, one that has not already been assigned to another user.

  • The person to whom you wish to assign the badge is an active user on Fluida.

To assign a Badge:

  1. Open the Fluida app from a smartphone or PC.

  2. Go to Company > Settings > Users.

  3. Select the user to whom you wish to assign the NFC Badge.

  4. Enter the badge code inside the Badge code field.

  5. Click Save to confirm.

The badge has been assigned to the user. Now you must force the Fluida Station to synchronize in order for the Badge to be recognized by the timestamping device.

💡 You can also assign a Badge when inviting a new user to register on Fluida.

💡 To make sure you enter the code correctly and to speed up this operation, if you have an iPhone, you can take advantage of the "Active Text" feature to copy and paste the Badge code.

What can go wrong when assigning an NFC Badge to a user

When I hold the Badge near the Station, the message "New Tag Collected - Empty Tag" appears

If this happens, it means you are trying to assign the badge from a screen where this operation cannot be completed. You should return to the badge assignment screen (the one that displays the name of your company, the workplace to which the Fluida Station has been assigned, your company logo, the current time, and the words Hold badge near reader).

When I change a user's settings and enter a Badge code, I get the error message "Request failed"

If this happens, it could mean that the Badge has already been assigned to another user. Try performing the operation from the Fluida Station: this way you will see who the badge belongs to. If the issue persists, contact customer support.

In the future, f you expect you will assign the badge to someone else, try writing the name on the badge by using a label.

What happens if I try to assign a badge that has already been assigned to another user?

If you attempt to assign a Badge that has already been assigned to someone else via the Fluida app on a PC or smartphone, the operation will fail, and you will see the error message "Request Failed".

If during the invitation process you assign the new user a badge that has already been assigned to someone else, the badge assignment will be successful, but the user will be unable to complete the registration process. In this case, we encourage the user to contact support@fluida.io.

I have assigned a Badge to a user via the Fluida app on PC or smartphone, but the user is unable to record timestamps with it

First, verify that you have entered the Badge code correctly. Then, force the Fluida Station to synchronize so that it may record the reassignment of the Badge.


Use the Fluida Station to unassign a Badge

Before getting started check that:

  1. Launch the Kiosk by Fluida app on the Fluida Station to open the timestamping screen, which displays the name of your company, the workplace to which Fluida Station has been assigned, your company logo, the current time, and the words Hold badge near reader.

  2. Select the settings icon ⚙️ in the upper right corner.

  3. Enter the email and password of your Administrator or Power User profile and select Sign In.

  4. Select Link a badge.

  5. Select the user whose NFC Badge you wish to unassign.

  6. Select Remove badge.

The badge has been successfully unassigned and can be immediately reassigned to another user.

💡 If you delete a user to whom a badge had been assigned, the badge can immediately be reassigned to another user. If, instead, you disable a user, you will need to unassign the badge from his or her user settings from the Fluida app.

Unassign a badge via Smartphone or PC

Before getting started check that:

  • You are accessing the Fluida HR Suite via an Administrator profile or a Power User profile.

  1. Open the Fluida app.

  2. Go to Company > Settings > Users.

  3. Select the user whose NFC Badge you wish to unassign.

  4. Delete the badge code from the Badge code field.

  5. Click Save to confirm.

The badge has been unassigned. If the same user tried to record a timestamp using this Badge, the error message "Timestamping request failed" would be displayed. Now you must force the Fluida Station to synchronize. If the user tried to record a timestamp now, he or she would see the error message "Badge not recognized", as the badge is no longer assigned to anyone.

💡 If you delete a user to whom a badge had been assigned, the badge can immediately be reassigned to another user. If, instead, you disable a user, you will need to unassign the badge from his or her user settings from the Fluida app.
