How to set up timestamp clocking in and out via Bluetooth

The Fluida Beacon is a compact device that uses built-in Bluetooth Low Energy technology to record certified timestamps via smartphone within a workplace. It is powered by a standard, user-replaceable CR2477 battery which will last 18 months under normal use conditions.

Configure and install the Fluida Beacon

Before getting started check that:

  • You are in possession of the Fluida Beacon.

  • The Fluida Beacon has not already been assigned to one of your company's other workplaces.

  • You have an Administrator profile or a Power User profile.

  • You have installed the Fluida app on your smartphone.

  • You have enabled location services (GPS) and Bluetooth on your smartphone, and you have authorized the Fluida app to use Bluetooth and access your location.

  • You have created the workplace you wish to assign the Fluida Beacon to.

This short video tutorial illustrates all the steps required to set up the Fluida Beacon and start using it to record certified timestamps.

Turn on the Fluida Beacon for the first time

Remove the clear plastic tab on the back of the device to activate the battery.

The Fluida Beacon is now powered on and ready to be assigned to a workplace.

Assign the Fluida Beacon to a workplace

  1. Open the Fluida app.

  2. Go to Company > Organization > Workplaces.

  3. Select the workplace to which you wish to assign the Fluida Beacon.

  4. Select Add + next to Bluetooth.

  5. Select the name of the Fluida Beacon that was detected (BlueUp-<numero dispositivo>).

  6. Select Next.

  7. If you want, you can customize the name of the device.

  8. Select Assign to confirm.

The Fluida Beacon has now been assigned to the workplace and can be found in the settings area of that workplace, in the Timestamping section. The device can now record the timestamps of users working from this location, if said users have been authorized to use their "Smartphone" as their timestamping method.

We recommend that you record a test timestamp to verify that the device is working properly before permanently placing it the workplace it was assigned to.

💡 If you plan to install several Fluida Beacons in the same workplace (e.g., one at each entrance of a large building, etc.), it may be useful to customize the Fluida Beacon's name.

What is inside the Fluida Beacon's box?

Inside the Fluida Beacon's box you will find:

  • The Fluida Beacon, complete with a CR2477 battery inside the device.

  • An adhesive velcro strip to position the Beacon.

Tips to help you position the Fluida Beacon

Once the Fluida Beacon has been properly configured and a test timestamp has been performed, the Beacon is ready to be placed permanently.

Using the adhesive velcro strip found inside the box, we recommend placing the Fluida Beacon in a spot that is not overly exposed (up high, or in a drawer), so that users will not accidentally bump into it or damage it. At the same time, it should not be placed too far away from the people who will be using it to record their timestamps. The Fluida Beacon can be record timestamps within a radius of about 10 meters (33 feet).

The Fluida Beacon is now ready to record certified timestamps. Check users' settings to verify that their timestamping method for the workplace that the Fluida Beacon has been assigned to is set to "Smartphone".

💡 The Fluida Beacon should not be installed outdoors, as it is rated IP40.


What can go wrong during the installation of a Fluida Beacon

I have the Fluida Beacon on hand, but it is not being detected as a device that can be assigned to a workplace.

  • Confirm that the Fluida Beacon is powered on:

    • Have you removed the transparent pull tab located on the back of the device?

    • Is the battery damaged or discharged? In normal use conditions, the battery lasts 18 months and can be replaced with a CR2477 battery.

  • Make sure that Bluetooth and location services (GPS) are enabled on your smartphone, and that you have given Fluida access to them.

Once you have verified the above, restart the Fluida Beacon by removing the battery and placing it back into the device. Finally, close and relaunch the app. Then, try to reassign the timestamping device to the workplace.

When I try to assign the Fluida Beacon to a workplace, I get the error message "Error. Verify that smartphone Bluetooth and location services (GPS) are active, then try again".

Make sure that you have enabled location services (GPS) and Bluetooth on your smartphone, and that you have authorized the Fluida app to use Bluetooth and access your location data.

I am unable to assign the Fluida Beacon to a workplace. I see the error message "Error while assigning the Fluida Beacon to a workplace. Restart the Fluida Beacon and try again".

As the error message suggests, restart the Fluida Beacon by removing the battery and placing it back into the device. Finally, close and relaunch the app.

When I try to assign the Fluida Beacon to a workplace, I am presented with the error message "You can activate Bluetooth timestamping only from your smartphone".

You cannot assign a Bluetooth device from the browser. Repeat the procedure by launching the Fluida app installed on your Android or iOS smartphone.

The Fluida Beacon has been successfully assigned to a workplace, Bluetooth and GPS are active and the Fluida app has access to them, but I am still unable to record timestamps.

When you attempt to record a timestamp, make sure you find yourself at the workplace where you are scheduled to record your attendance on that day, and that you are standing within 10 meters of the Fluida Beacon. Finally, check users settings to verify that the timestamping method for that workplace is set to "Smartphone".

If your company has multiple workplaces, make sure that the Fluida Beacon has been assigned to the correct one.

If you are still unable to record timestamps, remove the two screws located on the back of the Fluida Beacon and remove the battery. After waiting a few seconds, reinsert the battery, close the Fluida Beacon and try to record a timestamp again.

Finally, try unassigning then reassigning the device to the workplace. If your smartphone is not detecting the Fluida Beacon, the latter may be out of battery. In normal use conditions, the battery lasts 18 months and can be replaced with a CR2477 battery.

💡 If you are unable to record a timestamp, you can always record a non-certified timestamp.
