When you hold your NFC Badge close to the Fluida Station, Fluida certifies that you are physically present in an area that you are allowed to work from.
Record certified timestamps with an NFC Badge
Before getting started check that:
You have your NFC Badge on hand.
You are close to the Fluida Station that has been assigned to the workplace you are required to record timestamps from.
The timestamping screen (the one that displays the current time, your company logo and workplace) is open on the Fluida Station.
To record a certified timestamp with an NFC Badge:
Hold the NFC Badge just below the Fluida Station display. If your company uses an Android device as a timestamping machine, hold the NFC badge to the screen itself.
Wait for the confirmation sound and for your name to be displayed on the timestamp confirmation screen.
The timestamp has been recorded successfully. This newly recorded timestamp will be visible on the home screen in the timestamp log, which can be found below the current time. The timestamp will also be visible on your calendar (if the Presence management feature has been enabled).
💡 Even if you do not click on End or Go back to the beginning, the timestamping screen will automatically close after a few seconds, and the Fluida Station will be ready to record new timestamps.
What can go wrong: answers to frequently asked questions
I forgot to record a timestamp: what can I do?
If you forget to clock in, clock out, or record your attendance, you can record a non-certified timestamp at a later time.
Can I record certified timestamps with both an NFC badge and my smartphone?
To avoid misuse, users cannot be authorized to record certified timestamps using two different methods. If you have forgotten your NFC badge, cannot find it, or it is malfunctioning, you can always record a non-certified timestamp.
When I hold my NFC badge close to the Fluida Station, nothing happens or the message "New Tag Collected - Empty Tag" appears
If this happens, it means you are trying to record a timestamp from a screen that is not designed for this purpose: return to the timestamping screen (the one that displays the current time, your company logo and workplace).
When I try to record a timestamp, an error message appears on the screen of the timestamping machine.
The error messages that appear on the Fluida Station's screen vary depending on the version of the Kiosk by Fluida app that is installed.
How to check what version of the Kiosk by Fluida app is installed on the Fluida Station
To find out which version is installed, go to Settings > Apps and Notifications > Kiosk by Fluida, and scroll to the bottom where you will find the version.
If the Fluida Station is running version 2.0:
The following are the error messages that appear on the Fluida Station screen when the recording of a timestamp fails:
Error message | Reason | Solution |
NFC badge not assigned to any user | The NFC badge that was held near the Fluida Station is not assigned to any user. | Ask the person in charge of setting up Fluida for your company to assign the badge to your user profile.
If your user settings indicate that the NFC badge has already been assigned to you, the issue may be due to a Fluida Station synchronization error: Quit the app to force synchronization. |
User not authorized to use an NFC badge | Your Fluida user profile has not been authorized to use an NFC badge as a timestamping method. | Ask the person in charge of setting up Fluida for your company to check the timestamping methods your user settings allow you to use. |
User not authorized to record timestamps in this workplace | The workplace in which you are trying to record a timestamp is not among those you are authorized to record timestamps in. | Ask the person in charge of setting up Fluida for your company to check which workplaces your user settings allow you to record timestamps in. |
NFC badge not recognized correctly | The NFC badge you are trying to record a timestamp with had been previously assigned to another user but has now been reassigned to your profile by the Fluida app. The Fluida Station has not synchronized yet.
Synchronization error | The synchronization process fails and the Fluida Station is unable to access the data it needs.
Timestamping system error | Unspecified error. | Verify that the Fluida Station is connected to the Internet.
|
If the Fluida Station is running older versions:
The following are the error messages that appear on the Fluida Station screen when the recording of a timestamp fails:
Error message | Reason | Solution |
NFC badge not recognized | The NFC badge that was held near the Fluida Station is not assigned to any user. | Ask the person in charge of setting up Fluida for your company to assign the badge to your user profile.
If your user settings indicate that the NFC badge has already been assigned to you, the problem might stem from a Fluida Station synchronization error. Quit the Kiosk app to force synchronization. |
Timestamping request failed |
| Ask the person in charge of setting up Fluida for your company to check your authorized timestamping methods along with the workplaces your user settings allow you to record timestamps in.
If you are still unable to record timestamps, uninstall and reinstall the Kiosk by Fluida app on the Fluida Station. |
COMMON.DEVICE_NOT_FOUND | The synchronization process fails and the Fluida Station is unable to access the data it needs.
Timestamp data error | Unspecified error. | Verify that the Fluida Station is connected to the Internet.
|
Force the Fluida Station to synchronize
There are several ways to force the Fluida Station to synchronize:
Before getting started check that:
The Fluida Station is powered on.
Quit the Kiosk by Fluida application from the Fluida Station
Go to the Fluida Station's Settings > select Apps and Notifications > open Kiosk by Fluida > select Quit.
Restart the Fluida Station
Press and hold the power button for a few seconds to turn off the Fluida Station. Hold it down once again to turn the Fluida Station back on.
Log into the Fluida Station
If you have an Administrator or Power User profile, open the Kiosk by Fluida app, click on the gear icon in the upper right corner, and log in with your user profile by entering your email and password. If you had already logged in with your user profile, log out first, then log in again.
What can go wrong: answers to frequently asked questions
The Fluida Station has been successfully assigned to a workplace via NFC but remains stuck on the first installation screen
This can happen when the timestamping device has been deactivated and reactivated from the workplace settings in the Fluida app.
To solve the issue, if you have an Administrator or Power User profile, delete the Fluida Station and reassign it to the workplace.
To complete this process, open the Fluida app, go to Company > Workplaces > select the workplace to which you wish to assign the Fluida Station > select the NFC timestamping device > Click Delete > Reassign the timestamping device to the workplace.
When I try to record a timestamp, the attempt fails and an error message appears
