Configure predefined company clocking rules and customize clocking rules for individual users.

What are clocking rules

Clocking rules regulate what technology (GPS, Bluetooth or NFC) a user is allowed to clock in with when working on-site or when working remotely, from what location a user is allowed to clock in, and how many clockings they are expected to record each day.

Types of clocking rules

Clocking requirements

  • Every check-in / check-out (breaks included): A user with this clocking requirement must record a clocking at the beginning and end of his or her work shift, as well as at the beginning and end of any prescheduled break (such as a lunch break).

  • Shift start / end: A user with this clocking requirement must record a clocking at the beginning and at the end of his or her work shift.

  • Attendance, once a day: A person with this clocking requirement must record a single clocking, at any time within their assigned work hours, to report his or her attendance at work. Regardless of when the clocking is recorded, as long as the action is completed within a user's assigned work hours, Fluida will confirm the regular completion of all assigned hours for that day.

  • Never: A user with these settings has no obligation to record any clockings. Fluida automatically confirms all assigned work hours.

On-site clocking

  1. Without validation: A user who has been assigned this mode of on-site clocking must record uncertified clockings that are not subject to any validity checks.

  2. Smartphone: A user who has been assigned this mode of on-site clocking must record certified clockings the validity of which will be verified via smartphone GPS or Bluetooth.

  3. NFC Badge: A user who has been assigned this mode of on-site clocking must record certified clockings by holding the NFC badge that has been assigned to them close to the Fluida Station.

Remote clocking

  • Not allowed / Not necessary: A user with this remote clocking mode:

    • Is not authorized to work remotely.

      Or

    • Is authorized to work remotely but, when doing so, is not required to record a clocking.

      💡If the Time and Presence Management feature is enabled, in order to prevent absence anomalies from being generated, the user working remotely should report this by entering a Remote Work justification or a Workplace variation.

  • Enables areas only (GPS): A user who has been assigned this mode of remote clocking must record certified clocking the validity of which will be verified via smartphone GPS. The user's smartphone will determine whether the clocking is being recorded within an area that the person in charge of configuring Fluida for the urser's company has agreed to, and therefore included in that user's authorized areas, within their user settings.

  • From anywhere without validation: A user who has been assigned this mode of remote clocking must record clockings manually and specify the location they are working from. Such clockings are considered "uncertified" because they do not rely on any technologies that will automatically verify the correctness of the information inputted by the user.

Set default clocking rules

Before getting started check that:

  • You have activated the Clock-in clock-out feature.

  • You have an Administrator profile or a Power User profile.

Once you have activated the Clock-in clock-out feature, on the dedicated page you can configure the default clocking rules. These are pre-selected clocking rules that will apply to all users who will be added to the company going forward.

To set default clocking rules:

  1. Go to Company > Settings > Clock-in clock-out.

  2. Configure clocking requirements, as well as clocking methods for both on site and remote work, by selecting various options from the relevant drop-down menus.

  3. Select Save to confirm.

The default clocking rules have been configured. Now, when you invite a new user to join your company on Fluida, these will be the preselected clocking rules.

💡 Once set, the default clocking rules will not change the clocking rules of users that are already active. clocking rules for an active user can be customized by going into that user's settings.

Customize and edit a user's clocking rules

In the user settings, you can customize a person's clocking rules during the invitation stage or at a later time, when they are already active users on Fluida.

Customize a new user's clocking rules during the invitation stage

To customize a user's clocking rules during the invitation stage:

  1. Go to Company > Settings > Users.

  2. Select Add user.

  3. Fill in all required fields. You can find more information in this article.

  4. In the Presence Management section, select Advanced options to view more settings, including clocking rules.

  5. Customize the user's clocking rules by selecting the various options from the corresponding drop-down menus.

  6. Select Add to send the invitation to the new user.

The invitation to join your company on Fluida has been sent to the new user. Once they have accepted the invitation, they will be able to report their workplace attendance according to their personalized clocking requirements.

Edit the clocking rules of an active Fluida user

To edit the clocking rules of an active Fluida user:

  1. Go to Company > Settings > Users.

  2. Select the user whose clocking rules you wish to edit.

  3. Scroll down to the clocking section and select the various options from the corresponding drop-down menus.

  4. Click Save to confirm.

The user's clocking rules have been updated.

💡 In the user's settings you can select the Enabled locations from where they are authorized to record clockings and, if the selected remote clocking method is Enabled Areas only  (GPS), you can set the Personal Areas.
