Features involved: Clock-in clock-out
When you record a certified clocking, Fluida certifies that you are physically present in an area that you are allowed to work from by geolocating your smartphone. This geolocation process occurs via GPS or by detecting a nearby Bluetooth clocking device, such as the Fluida Beacon or Fluida Station.
Record a clocking with your smartphone when you want to mark the beginning or end of a workday or, more broadly, to record daily work attendance.
Record a certified clocking using your smartphone
Before getting started check that:
You have installed the Fluida app on your smartphone and you are logged in with your user profile.
You have enabled location services (GPS) and Bluetooth on your smartphone, and you have authorized the Fluida app to use Bluetooth and access your location data.
You find yourself inside an area within which you can record clockings.
To record a certified clocking using your smartphone:
Open the Fluida app.
In the home screen, click the clocking button indicating the intended clocking direction: Clock in to record an entry, Clock out to record an exit, or Present to record daily work attendance.
Select "OK" to confirm your intention to record the clocking.
If the application detects that you are present inside an authorized clocking area, the clocking will be recorded. This newly recorded clocking will be visible on the home screen in the timestamp log, which can be found below the current time. The clocking will also be visible on your calendar (if the Presence management feature has been enabled).
💡The expected direction of the clocking is determined automatically based on settings and on the direction of any previously recorded clockings.
💡 If this is your first time trying to record a clocking with your smartphone, you will be asked to enable the device. To do so, select "Enable device" and record the clocking once more. Every time you enable a new device, your manager will receive a notification.
💡 Fluida never saves any location data when recording clockings: the operations required to confirm a user's location when recording a clocking take place locally, on the device of the users who is recording the clocking. The GPS coordinates are not transmitted to Fluida or to any servers.
Who can record a certified clocking and when can they do so
If your settings require you to record certified clockings, you can always do so for the current date and time. It is never possible to record certified clockings for a date or time set in the past or in the future, nor can you enter them on behalf of other users.
What can go wrong: answers to frequently asked questions
I forgot to record a clocking: what can I do?
If you forget to clock in, clock out, or record your attendance, you can enter a non-certified clocking at a later time.
Can I record a certified clocking without GPS?
To record certified clockings, GPS must be active on your smartphone. Otherwise it will not be possible to correctly determine your position.
Can I record a certified clocking without Bluetooth?
If your assigned method of clocking is "GPS", you can record timestamps by only enabling GPS and without having to enable Bluetooth connectivity.
On the other hand, if you need to record clockings by interacting with a Fluida Beacon or Fluida Station, Bluetooth connectivity must be enabled, in addition to GPS.
I am unable to record clockings: it appears I find myself in an area in which I am not authorized to record clockings
There are several reasons why you might see the "Invalid area" error message. Read the article to learn more and successfully record a clocking.
I cannot find the clocking button
The clocking button Clock in, Clock out or Present is located at the top of Fluida's Home screen, below the notification feed that lists all pending actions. If you don't see the clocking button, ask the person in charge of setting up Fluida for your company to check your personal clocking settings.
When I select the clocking button, nothing happens
If you see a check mark ✓ on the clocking button, instead of the filled-in dot ●, it means that you have recently recorded a clocking. If you are required to record a clocking only once per day, you will not be able to record another clocking until the following day. If this is not your case, wait a few seconds and try clocking again.
When I record a clocking with my smartphone I get the error message "Invalid clocking"
If you are seeing this error message, verify that the clock on the smartphone you use to record clockings is synchronized with the Internet.
I am being asked to enable the device. Why?
If this is your first time recording a clocking on Fluida, or you have recently started using a different smartphone, an invitation screen will appear, asking you to enable the device, the first time you try to record a clocking. By enabling it, you are declaring that it will be the only device from which you will personally record clockings. After enabling the device, attempt to record the clocking once more.
