Configure or change the timestamp settings

If you have activated the Timestamp feature, you can configure it and set some rules for the users of your company.

Go to the Company > Settings > Timestamp menu. Set the rules for each of the entries in the Configurations section.

Timestamp obligations

  • Each entry/exit
    Users must timestamp clocking in and out when they enter and leave the workplace, including when they take any breaks.
    If the assigned shift is 09:00 > 13:00 | 14:00 > 18:00, the user has to timestamp clocking in at 09:00, clock out for a lunch break at 13:00, timestamp clocking in again at 14:00 and clock out again at 18:00.

  • Shift Start/End
    Users must timestamp clocking in and out at the start and end of the assigned shift. It is not necessary to timestamp clocking in and out for the break, which is calculated automatically based on the assigned shift.
    If the assigned shift is 09:00 > 13:00 | 14:00 > 18:00, the user only has to timestamp clocking in at 09:00 and clocking out 18:00.

  • Attendance once a day
    Users can only timestamp clocking in once during working hours.
    Regardless of the time they timestamp clocking in, the application confirms all the hours allotted for that day.

  • None
    Users have no obligation to timestamp clocking in or out.

In the workplace

  • Without validation
    Users must enter a timestamp justification with the "+" button in the app or "+ New" on the desktop.

  • Smartphone
    Users timestamp clocking in via smartphone with the "Enter"/"Exit" button.

  • NFC Badge
    If the company uses Fluida Station, users can timestamp clocking in and out with the NFC Badge.

Remotely

  • Not allowed / Not necessary
    Users do not have to timestamp clocking in when working remotely, but can enter the "Remote work" justification with the "+" key in the app or "+ New" from the desktop.

  • Only enabled areas (GPS)
    Users can remotely clock in and out with their smartphones: to learn more about certified timestamps via GPS, read here.
    💡 Fluida respects your privacy! If a user is authorized to timestamp clocking in or out from a private address, the data is not visible to other users.
    ⚠ If a user is enabled to remotely timestamp clocking in and out but cannot do this successfully, check that Only enabled areas (GPS) is selected. If this setting is selected and the user still cannot timestamp clocking in or out, go to Company > Settings > Users, select the user and scroll to the Remote Work and Timestamp sections. Check that its settings allow remote timestamps. Read the article dedicated to changing the settings of individual users.

  • From anywhere without validation
    Users must enter a timestamp justification: to find out more about non-certified timestamps, read here.
