Troubleshooting NFC badge clock-ins

Sometimes, when you tap your badge on the Station, the clock-in might fail and an error message will appear on the screen. These messages explain what went wrong so you can fix the issue and record your clock-in correctly. Other times, the Station might not work as expected even without an error message. This guide covers the most common issues and how to resolve them quickly.

An error message appears on the clock-in screen

If you are using Kiosk by Fluida version 2.0 or later, you might see one of the following messages when tapping your NFC badge.

  • Badge not associated with a user: The badge is not linked to any profile. Ask your Fluida administrator to assign the badge to your user profile. If it is already linked, force a Station synchronization to update the data.

  • User not authorized to use a badge: Your assigned clock-in method is likely not set to NFC Badge. Ask your administrator to check your settings and then force a Station synchronization.

  • User not authorized at this location: You are trying to clock in at a location that hasn't been enabled for you. Contact your administrator to update your authorized locations and sync the Station.

  • Badge not recognized correctly: This happens if a badge was recently reassigned from another person to you, but the Station hasn't updated yet. To fix this, force a synchronization.

  • Synchronization error: The Station cannot find the necessary data. To resolve this, force a synchronization.

  • Clock-in system error: This is a general error. Check that the Station is connected to the internet, then uninstall and reinstall the Kiosk app.

No error message appears, but the Station isn't working correctly

Nothing happens when I tap my badge

First, ensure the Kiosk by Fluida app is open and showing the clock-in screen (with the logo and clock).

  • If it only happens to you, your badge might be demagnetized. Ask your manager for a new badge and sync the Station.

  • If no one can clock in, check the internet connection, ensure the Station casing is securely closed, and check that the battery is not swollen. If the problem persists, reinstall the Kiosk app.

The Station returns to the home screen every day

To fix this, uninstall and reinstall the Kiosk by Fluida app on the Station.

Error message: "New tag collected - Empty tag"

You are likely trying to tap your badge while the Kiosk app is closed. Return to the clock-in screen to record your clock-in successfully.

Message: "Houston... we have a problem!"

This appears if there is no internet connection or if Fluida's servers are temporarily unreachable. Check your connection and tap Retry.

The screen is black or won't turn on

The Station should always be plugged into power. If unplugged, the screen may turn off to save battery.

  • Press the power or wake button on the side.

  • If it's plugged in but remains black, check the cable and power adapter. Try a different outlet or cable if necessary.

The Station is linked to the location but shows the "First installation" screen

This can happen if the device was disabled and re-enabled in the Fluida settings. If you are an Admin or Power User, delete the Station from the location settings and add it again.

The Station shows "No applications installed"

  1. Hold the Volume Up button on the right side for a few seconds (you may need to remove the device from its wall mount).

  2. Tap the Sync icon 🔄 next to Connectivity.

  3. If successful, tap any button on the bottom navigation bar. You should now see Dashboard, Settings, and Kiosk by Fluida.

💡 If the sync fails or the apps still don't appear, contact support@fluida.io and provide the "Owner's name" string shown on the connectivity screen.
