Administrators and Power Users can create approval workflows, defining rules that involve multiple people in the process of approving user requests. These workflows can be configured to require approval from all designated approvers or just one. Once created, they can be set as the company-wide default approval rule or as a specific approval rule for an individual user, depending on your needs.
Create an approval workflow
Before you begin:
You must have an Administrator or Power User profile.
The Multi-approver extension must be active for your company.
To create an approval workflow:
Go to Company > Settings > General.
Select Approval requests.
Select Approval flows.
Click Add.
Give the workflow a Name.
Set the first approver, choosing between A specific person or Their team leader.
Select a logical conjunction: And, Or, or And then.
Set the second approver.
Click Add condition if you want to include additional approvers, and specify who they are.
Click Add to create the workflow.
The approval workflow is now created. It can now be applied as a company default or personal approval rule.
View workflows
Before you begin:
You must have an Administrator or Power User profile.
The Multi-approver extension must be active.
To view existing workflows:
Go to Company > Settings > General.
Select Approval requests > Approval flows. All existing workflows are displayed. By clicking on a workflow, you can see its details and, if necessary, edit or delete it (provided it is not currently in use).
Modify a workflow
Before you begin:
You must have an Administrator or Power User profile.
The Multi-approver extension must be active.
To modify an approval workflow:
Go to Company > Settings > General > Approval requests > Approval flows.
Select the workflow you wish to modify.
Click Edit.
Modify the elements (name, approvers, or logical conjunctions).
Select Save to confirm.
The workflow is now updated. If it was already set as a company or personal rule, the changes will reflect there automatically. Any pending requests will be updated according to the new rules while maintaining any partial approvals already received.
Delete a workflow
Before you begin:
You must have an Administrator or Power User profile.
The workflow must not be set as the company-wide default rule.
To delete an approval workflow:
Go to Company > Settings > General > Approval requests > Approval flows.
Select the workflow you wish to delete.
Click Delete, then click Confirm.
The workflow has been deleted. For users who had this assigned as a personal rule, the system will revert to using the company default rules.
Troubleshooting
I cannot save a workflow; I get the message "Identical conditions detected"
This happens if you are trying to save a workflow that involves the same specific person multiple times.
I cannot create a workflow; I get the message "This workflow already exists"
An identical workflow already exists. Even if the order of approvers is different, if the participants are the same, you cannot create a duplicate. Check existing workflows to see if you can reuse them.
I want to combine different logical conjunctions, but I can't
Each workflow supports only one type of logical conjunction. A workflow must consist exclusively of AND also connections, exclusively OR connections, or exclusively AND then sequences.
I cannot delete a workflow; I get the message "Workflow cannot be deleted"
You are likely trying to delete a workflow currently set as the company-wide default. Change the default company rules first; once replaced, you will be able to delete the workflow.
