Customizing a user's approval rules or restoring default settings

An Administrator or Power User can customize approval rules for users who should not follow the company's default settings. Similarly, they can restore the default behavior for a user who no longer requires custom rules.

Set a single rule for all of a person's requests

Before you begin:

  • You must have an Administrator or Power User profile.

  • At least one of the following features must be active: Attendance ManagementClock-in clock-out, or Expense Reports.

To modify a person's approval rules:

  1. Go to Company > Settings > Users.

  2. Select the user whose approval rules you want to modify.

  3. Under the field Who approves their requests?, select the desired approval rule.

  4. Select Save to confirm.

The approval rule is now set. From now on, all approval requests will be sent to the approvers specified by that rule.

💡 Note: Any requests currently pending or not yet managed will be updated to reflect these changes, while maintaining any partial approvals already received. User approval rules are also visible within the Person's profile details.

Set different rules based on request type

Before you begin:

  • You must have an Administrator or Power User profile.

  • The Multi-approver extension must be active.

  • At least one of the following features must be active: Attendance Management, Clock-in clock-out, or Expense Reports.

To set different approvers for one person:

  1. Go to Company > Settings > Users.

  2. Select the user for whom you want to customize the rules.

  3. From the Who approves their requests? dropdown menu, select Depends on functionality.

  4. Expand the Attendance Management, Clock-in clock-out, and Expense Reports sections (depending on which features are active) to set a specific approval rule for each.

    💡 You can select an approval workflow involving multiple people to require approval from all designated approvers or just one.

  5. Select Save to confirm.

The approval rules are now set. Requests will be routed to the approvers defined for each specific feature.

Restore company default behavior

Before you begin:

  • You must have an Administrator or Power User profile.

  • Ensure you have correctly configured the company default approval rules.

To restore defaults:

  1. Go to Company > Settings > Users.

  2. Select the user you wish to reset.

  3. From the Who approves their requests? dropdown menu, select Default.

  4. Select Save to confirm.

Default behavior has been restored.

💡 Note: When company-wide approval rules are updated, any user set to "Default" will automatically update to follow the new rules. Pending requests will be updated accordingly, carrying over any partial approvals already received.
