Depending on your permissions, you can add absences, extra work, or remote work directly to other people's calendars as well as your own. This is essential to ensure Fluida’s attendance records are always up to date, even when an employee cannot do so themselves.
Adding requests to someone else's calendar is particularly useful in several situations:
Offline requests: When an absence or attendance request is received outside of Fluida and needs to be logged in the platform to sync data.
Direct management: When a manager wants to enter a specific request for a team member and include a custom message sent via notification.
Past entries: When you need to edit past dates for which calendar entries are normally disabled; in this case, only profiles with specific permissions can make changes.
Log absences, extra work, or remote work for someone else
Before you begin:
The Attendance Management feature must be active for your company.
You must have permission to edit another person's calendar.
To report an absence, extra attendance, or remote work on behalf of someone else:
From the Home screen, click the + button (on mobile) or New (on PC).
From the dropdown menu at the top, select the user you are reporting for.
Select the category of the request.
If the category contains multiple types, select the specific type of justification.
Fill in the time details (such as start/end dates and times or duration).
Add any notes (these will be visible to the approver and notification recipients).
If necessary, customize the notification recipients.
Depending on the chosen category, there may be additional fields to complete.
Click Send.
The request has been submitted. Depending on its specific rules, you will either see it applied to the calendar or be informed that it could not be applied.
All selected recipients, including the person you submitted the request for, will receive a notification.
The entry can also be edited or deleted.
💡 If you are viewing a user's Daily Calendar, you can also click the three dots next to the scheduled shift and select New request or notify.
Troubleshooting common issues
I added a request to the calendar, but I can't see it anywhere
If you submitted a request but it doesn't appear on the daily calendar, try closing and reopening the calendar to refresh it.
If it still doesn't appear, ensure it follows the application rules for its category. If it's an attendance or remote work entry, it might overlap with already scheduled work sessions. If it’s an absence, it might fall during a period where no work sessions are scheduled. Any request that fails to apply will be visible in the Unapplied requests section.
When I confirm the entry, the app "freezes" with an infinite loading screen
If you encounter loading issues after submitting a request, close and reload the app. Then, check if the entry was successfully added.
I cannot add a request on behalf of someone else
Only authorized users can enter requests for others, and sometimes only during specific periods.
