Fluida allows you to add non-certified clock-ins. These are entries that do not use technologies like GPS, NFC, or Bluetooth to verify your location within an authorized area.
There are several situations where you might need to add a non-certified clock-in:
Remote or on-site work: It is the standard clocking method assigned to your profile for working from the office or remotely.
Technical issues or forgetfulness: You cannot use a certified method (like a smartphone or NFC Badge) due to technical barriers or because you forgot, despite what your rules require.
On behalf of others: An authorized user needs to enter a clock-in for someone else.
Depending on the clocking rules, the timing of the entry, and who performs it, Fluida classifies these as declared, forgotten, or forced.
Add a non-certified clock-in
Before you begin:
The Clock-in clock-out feature must be active for your company.
You must be logged into Fluida via smartphone or PC.
To add a non-certified clock-in for yourself:
From the Home screen, click the + button (on mobile) or New (on PC).
Select Timestamp.
Select the day, time, and location (and the clocking direction—in or out—if required by your settings).
Based on your clocking rules, and if the day or time is modified, Fluida will automatically determine if the entry is declared, forgotten, or forced.
Add any notes. You can write a text message, but you cannot attach files or images.
💡 When approval is required, a note of at least 10 characters is mandatory. Use the notes to explain to the approver why you didn't clock in using the standard method.
Click Send timestamp (for a declared entry) or Send request (for a forgotten or forced entry) to confirm.
The clock-in has been added to your calendar (if Attendance Management is active) and is visible in clocking reports.
If it requires approval, the designated approvers will receive a notification to approve or reject the request. You will be notified as soon as the request is processed.
Other ways to add a non-certified clock-in
In addition to the procedure above, you can also record your attendance in these ways:
From the Calendar: If the Attendance Management feature is active, select the desired day, click the three dots next to the scheduled shift, and select New request or report > Timestamp.
In case of clocking error: If a certified clock-in attempt fails, you can add a non-certified entry by clicking the Force timestamp button at the bottom left.
In case of a forgotten clock-in: If the Attendance Management feature and reconciliation are enabled, you can fix the error by clicking Missing clock-ins in the anomaly dropdown menu on the Calendar. You can also enter missing clock-ins via the automatic Missing clock-in alerts that appear when reopening the app if more than 14 hours have passed since your last "in" clock-in.
Troubleshooting common issues
The error message "Error recording clock-in" appears
If you cannot add a non-certified clock-in and receive this message:
Ensure you have a stable internet connection so Fluida can correctly record the action.
If you are adding a forced (non-certified) clock-in, ensure your note is at least 10 characters long. Forced entries cannot be submitted with shorter notes.
The error message "No approver defined" appears
If this message appears while adding a forced clock-in:
Ask the person who manages Fluida for your company to verify in your personal settings that you have a defined approver.
If you have an approver, check your internet connection and try again.
The error message "A clock-in already exists for the same minute" appears
When this occurs, ensure you haven't already entered a clock-in at the same time. There must be at least 60 seconds between entries.
The error message "You cannot clock in for the future, please indicate a current or past time" appears
Ensure the time you are declaring is not in the future. Edit the time to reflect the present or a past moment.
