Whether you have multiple offices and are setting up your company on Fluida for the first time, or you've opened a new branch or moved to a different address, Admins and Power Users can easily manage company workplaces in Fluida.
This allows you to filter expense reports, communications, reporting, attendance, and clock-ins by location.
Create a workplace
To create a new location:
From the Home screen, go to Company > Organization > Workplaces.
Select Add.
Enter a Name for the new location.
Type the full address and select the suggestion from the dropdown menu. Make sure it matches the exact location, including the street number.
💡 If you can't find the exact location, you can enter the Google Plus Code corresponding to the coordinates.
Set the weekly closign days for the location.
💡 Only set a weekly closure if the office is actually closed and no employees are expected to work standard hours on that day.
In the Maximum occupancy section, you can enter the maximum number of people allowed in the building at once.
💡 If Attendance Management is active, Fluida will send an alert if the capacity is exceeded.
If you have activated a payroll or external ID extension, enter the External ID in the integrations field.
Click Add to confirm.
The location is now created and will appear in your company list. GPS clock-in with a 500-meter radius is enabled by default. Open the location settings again to review details, configure (or disable) GPS clock-in, or pair an NFC or Bluetooth clocking device.
Edit a workplace
To edit a location:
From the Home screen, go to Company > Organization > Workplaces.
Select the location you want to edit.
Scroll to the bottom of the page and select Edit.
Update the name, weekly closures, or clock-in methods.
Save to confirm.
The workplaces has been updated.
Delete a workplace
Before you begin:
The location must not be set as the main office for any active or deactivated user.
To delete a location:
From the Home screen, go to Company > Organization > Workplaces.
Select the location you want to delete.
Scroll to the bottom and select Delete.
The workplace has been deleted.
Troubleshooting
I can't enter the full address
If you don't plan to use GPS clock-in, an exact street number isn't required. However, if you need GPS clock-in, the exact address is mandatory. Try using a Google Plus Code for precise coordinates.
I don't see the delete button
If the button is missing, the location is likely still assigned as the main office for at least one active user.
I get an error message when trying to delete the workplace
Ensure no active or deactivated users are assigned to this location. If they are:
Temporarily reactivate any deactivated users.
Assign them to a different main office in their user settings.
Delete the workplace.
How do I remove past weekly closing days?
Currently, changes to weekly closures are not retroactive. To remove a past closure:
Create a non-recurring Company Closure for that specific day and location (see guide).
Delete the "fictitious" closure you just created.
Repeat for any other past dates you wish to clear.
