Adding default or custom company closing days

In Fluida, you can manage company closing days - days or periods when one or more company locations are closed and no regular work activities are planned for employees. Admins and Power Users can create two types of closures:

  • Default closing days: Imported from a list of the main public holidays for the selected country. These are registered as rest days, so they are not deducted from users' time-off balance.

  • Custom closing days: Created manually for specific company needs, such as summer shutdowns or other business suspensions. If needed, you can manage these as paid time off.

This distinction makes it easy to manage both official public holidays and internal company closing days, applying them consistently across entire locations according to your company rules.

Import default company closing days

Before you begin:

  • You must have an Admin or Power User profile.

  • The Attendance Management feature must be active for your company.

Importing default company closing days based on a country's main holidays allows you to add public holidays to the calendar without affecting employees' time-off balance. To do this:

  1. Go to Company > Settings > Attendance Management.

  2. Select Company closing days.

  3. Click Add > Guided import.

  4. Select the relevant year and the country whose default company closing days you want to view.

  5. For each suggested closing day, choose whether to skip it, import it only for the selected year, or make it a recurring closing day.
    💡 Easter and Easter Monday are moving holidays, meaning their dates change every year based on the lunar cycle. You will need to import them annually.

  6. Click Next.

  7. Choose whether to apply the closing day to all locations or only to specific ones.

  8. Confirm to complete the import.

The company closing day import wizard is now complete, and all affected users will receive a notification.

Newly imported closing days appear on the calendar as a black box. They are counted as rest days rather than time off, so they do not affect people's time-off balance.

💡 Any hours worked on these days can only be counted as overtime, not regular working hours.

Create a Custom Company Closing Day

Before you begin:

  • You must have an Admin or Power User profile.

  • The Attendance Management feature must be active for your company.

To create a custom company closing day - for example, to notify the entire company that the offices will be closed for vacation during the middle two weeks of August:

  1. Go to Company > Settings > Attendance Management.

  2. Select Company closing days.

  3. Click Add > Custom Dates.

  4. Fill in the closing day details:

    • Name: Give the company closing day a name.

    • Duration: Choose whether the closing day lasts a single day (and specify which one) or a date range (and specify the start and end dates).

    • Recurrence: Choose whether the closing day should repeat every year.

    • Time off: Choose whether the closing day should be considered paid time off (holidays).

    • Locations: Choose whether the closing day applies to all company locations or only to specific ones.

  5. Click Save to confirm.

The company closing day is now created, and all affected users will receive a notification.

If you don't enable the Consider as vacation option, the new closing day appears on the calendar as a black box, counts as a rest day, and does not affect the time-off balance. If you enable the Consider as vacationoption, the closing day appears on the calendar as an orange box (the color used for the Holidays category) and reduces people's time-off balance. In both cases, any hours worked on these days can only be counted as overtime.


Troubleshooting

I set up a recurring company closing day, but some employees actually worked or will work regular hours

During a company closing day, any hours worked can only be managed by submitting requests or reports for overtime. If it wasn't actually a company closing day because someone worked regular hours, follow these steps:

  1. Delete the past recurring closing day.

  2. Recreate the same closing day, but set it as non-recurring.

  3. Delete the non-recurring closing day you just added.

To fix this, edit the company closing day and uncheck Repeat every year.

On the Calendar, Easter and Easter Monday fall on the wrong days

Easter is a moving holiday and its date changes every year based on the lunar cycle. During the closing day import wizard, you might have selected the Recurring option for Easter and Easter Monday.

An admin can easily fix this by following these steps:

  1. Go to Company > Settings > Attendance Management > Company Closing Days.

  2. Select the Easter closing day.

  3. Uncheck the Repeat every year option.

  4. Click Save.

  5. Do the same for Easter Monday.

If you have already done this but the closing day still shows up on the wrong dates for the current year, create a NON-RECURRING custom closing day for that date. Then, delete the closing day you just created. This should fix the issue on the calendar.
