How to monitor accruals and balances in Fluida

Written by Fulvia Chesi

The accrual and balance management feature in Fluida allows companies using the Attendance Management feature to monitor employee entitlements for Holidays (=Annual leave), Permits (=Personal leave), and Former public holidays (=Ex festività in Italy) in real time. The platform automatically calculates tracker accruals based on company settings, providing an up-to-date view of available balances and time already taken.

To correctly manage trackers and automate entitlement calculations, follow these configuration and monitoring steps.

Set up the balance trackers

The first step is to activate the trackers required for your company. In this section, you can choose which items to monitor and define general display settings.

To do this, go to Company > Settings > Attendance Management > Counters and accrual rules > Counters.

Create accrual rules

Accrual rules define how much leave each employee is entitled to on an annual or monthly basis. In this section, you set the calculation criteria for the different contract types within the company.

To do this, go to Company > Settings > Attendance Management > Counters and accrual rules > Accrual rules.

Assign accrual rules to employees

Once created, rules must be linked to individual users. This allows Fluida to apply the specific calculation logic to each collaborator and correctly update their trackers.

To do this, go to Company > Settings > Users > click on the person's name > expand Attendance Management > scroll down to Counters and accrual rules.

Monitor balances

Through a dedicated report, Administrators and Power Users can check the balance status for the entire team. Similarly, each employee can view their own updated situation to plan their absences.

The report is accessible via Company > Reports and data > Accruals and residuals.

Make corrections to the trackers

In case of errors in carry-overs from previous years or the need for manual alignment, you can intervene directly on individual user balances to make the necessary adjustments.

To do this, go to Company > Reports and data > Accruals and residuals > access a user's report > Make correction.
