Once you have created the accrual rules for Holidays (=annual leave), Permits (=personal leave), and Former public holidays (=Ex festività in Italy), Administrators and Power Users can assign them to individual employees. This allows you to customize rate calculations based on contracts (e.g., Full-time or Part-time) or manage specific individual agreements.
💡 By default, all trackers are set to "No accrual." You must select an active rule for Fluida to start calculating entitlements for that person.
Assign an accrual rule
Before you begin:
You have an Administrator or Power User profile.
Accrual rules for Holidays (=annual leave), Permits (=personal leave), or Former public holidays (=Ex festività in Italy) have already been created.
To assign or change a user's accrual rule:
Go to Company > Settings > Users.
Click on the name of the desired user.
Expand the Attendance Management section.
Scroll down to Counters and accrual rules.
Select the specific rule for each visible balance tracker (e.g., Holidays, Permits, or Former public holidays).
💡 Remember, if you leave the setting on "No accrual," the system will not automatically credit any rates.
Click Save to confirm.
The accrual rule has been successfully assigned to the user's profile. The person will start accruing time off based on the set rules and the total weekly hours assigned in their profile. If no weekly hours are configured, the system will base calculations on a 40-hour work week.
How the activation date affects balance trackers
Assigning a rule is retroactive to the first day of the month in which it is set. For example, if a rule is assigned on March 15th, Fluida will calculate the accrued rates as if the rule had been active since March 1st, ensuring the employee receives their full monthly entitlement.
Regarding the calculation of the remaining balance, the system behaves differently based on when the requests were submitted:
Absences before the activation date: Approved requests (e.g., annual or personal leave) for days prior to the date the rule was assigned will not be deducted from the tracker.
Example: If you activate the annual leave accrual rule on March 15th, and the user took leave on March 1st, that day will not be subtracted from the balance.
Absences after the activation date: All requests submitted for dates after the assignment day will be regularly deducted from the balance.
Example: If you activate the rule on March 15th and the user had already requested leave for March 20th, the system will correctly deduct that day.
💡 You can always make manual corrections to employees' balance trackers to align the data in Fluida with the actual values shown on their payslips.
