Create an accrual rule

Written by Fulvia Chesi

In Fluida, an accrual rule defines how and when an employee earns their right to Holidays (=annual leave), Permits (=personal leave), and Former public holidays (=Ex festività in Italy) throughout the year. Setting up these rules automates the calculation of rates, ensuring the system automatically credits the correct amount each month or year.

For the system to work correctly, each accrual rule must be linked to a specific balance tracker (Holidays, Permits, or Former public holidays). This link allows Fluida to feed each tracker with the amounts accrued based on your settings.

Administrators and Power Users can create different rules to handle various business contracts (for example, by distinguishing between different contracts or job levels). Configuring precise rules ensures fair calculations for all employees in the same category and keeps the data in the app perfectly aligned with their payslips.

Create an accrual rule

Before you begin:

  • You have an Administrator or Power User profile.

  • The Attendance Management feature is active for your company.

To create an accrual rule:

  1. Go to Company > Settings > Attendance Management.

  2. Select Counters and accrual rules.

  3. Click on Accrual rules to access the section.

  4. Click the Add rule button.

  5. Give the rule a clear title (e.g., Retail Sector - Office Staff).

  6. Select the linked balance tracker (Holidays, Permits, or Former public holidays).

  7. Enter the accrual amount, which is the total annual entitlement for a full-time employee (the system will automatically calculate pro-rata amounts for part-time staff).

💡 The unit of measurement (days or hours) automatically follows the setting of the linked tracker. The system has a maximum limit of 100 for days and 1,000 for hours.

  8. Click Create new rule to confirm.

The new accrual rule is now created and ready to be assigned to your users' balance trackers.
