Depending on the setup, you can add absences, extra work, or remote work to your own calendar. This is essential to ensure Fluida’s attendance records are always up to date by notifying colleagues and managers of changes to your scheduled shift. Depending on the approval rules, managers may need to approve or reject the request.
💡 Depending on your permissions, you can also add absences, extra work, or remote work on behalf of someone else.
Log absences, extra work, or remote work for yourself
Before you begin:
The Attendance Management feature must be active for your company.
You must have permission to edit your calendar.
To add an absence, extra work, or remote work on your calendar:
From the Home screen, click the + button (on mobile) or New (on PC).
Select the category of the justification.
If the category contains multiple types, select the specific type of justification.
Fill in the time details (such as start/end dates and times or duration).
Add any notes (these will be visible to the approver and notification recipients).
If necessary, customize the notification recipients.
Depending on the chosen category, there may be additional fields to complete.
Click Send.
The justification has been submitted. Depending on the application rules, you will either see it applied to the calendar or be informed that it could not be applied.
If it requires approval, the designated approvers will receive a notification to approve or reject the request, and you will be notified of their decision. If the request is approved—or if it doesn’t require approval—all selected recipients will be notified.
The justification can also be edited or deleted.
💡 If you are viewing your Daily Calendar, you can also click the three dots next to the scheduled shift and select New request or notify.
Troubleshooting common issues
I added a justification to the calendar, but I can't see it anywhere
If you submitted a request or a justification but it doesn't appear on the daily calendar, try closing and reopening the calendar to refresh it.
If it still doesn't appear, ensure it follows the application rules for its category. If it's an extra work or remote work entry, it might overlap with already scheduled work sessions. If it’s an absence, it might fall during a period where no work sessions are scheduled. Any justification that fails to apply will be visible in the Unapplied justifications section.
When I confirm the entry, the app "freezes" with an infinite loading screen
If you encounter loading issues after submitting a justification, close and reload the app. Then, check if the entry was successfully added.
I added or modified a justification while I didn't have a defined approver
If you submit or edit a justification that requires approval without having a defined approver, ask your manager to assign one to you. Afterward, make a change (even a dummy change, without actually altering anything) to the justification and save it to send a notification to your new approver so they can manage the request.
