Troubleshooting certified smartphone clock-ins

Written by Fulvia Chesi

When performing a certified clock-in via smartphone, the Fluida app might show error messages or not behave as expected. Most of the time, the issue is related to clock-in settings, smartphone permissions, or unmet technical requirements (GPS, Bluetooth, connection). This guide covers the most common cases and the actions you can take to resolve them quickly.

Error: "Clock-in error - No areas or workplaces enabled for clocking in"

If you see this message, it is likely that:

  • Your remote clock-in mode is set to Personal areas only (GPS), but you have no personal areas assigned.

  • Or your workplace clock-in mode is Smartphone, but no enabled workplace is correctly configured (GPS active or Bluetooth device linked).

👉 Ask your manager to check the settings for your enabled workplaces and personal areas.

Error: "Clock-in error - We were unable to record your clock-in"

This is a generic error that prevents the recording of a certified clock-in, even when your smartphone and user settings appear to be correct.

👉 Refer to the dedicated guide to check the necessary controls and resolve the issue.

The clock-in button is missing

If you don't see the clock-in button, it's likely that the clock-in rules assigned to you do not include the use of certified clock-ins via the app. For example:

  • You might need to clock in at the workplace via NFC Badge.

  • You might not have the obligation or the possibility to clock in while working remotely.

  • Geolocation might not be required for your clock-ins.

First, check your clock-in rules by going to People > click on your name > Clock-in section.

  • If certified clock-in is not required at the workplace (Smartphone option) or remotely (GPS enabled areas only option), you can only record presence by entering a manual clock-in using the + / New button.

  • If you believe your clock-in methods are incorrect, contact your manager to verify and update your settings.

Nothing happens when I press the clock-in button

If the clock-in button shows a checkmark ✓ instead of a solid dot ●, it means you have clocked in recently and no further entries are required.

  • If you are required to clock in once a day, you cannot enter another clock-in until the next day.

  • If you are required to clock in multiple times a day, wait 60 seconds since your last entry and try again.

Error: "Next clock-in available in one minute"

If you receive this error, you have already entered a clock-in less than 60 seconds ago. Wait for 60 seconds to pass from your last entry and try again.

Error: "Invalid clock-in"

If you see this error message, make sure your smartphone's clock is synchronized with internet time.

Why am I being asked to enable the device?

If it's your first time clocking in on Fluida, or if you've recently changed smartphones, a screen will appear asking you to enable the device. By enabling it, you declare that this will be the only device you will personally use to clock in.

Why are my clock-ins certified with GPS even if the workplace is set for Bluetooth?

It is possible that the "anti-fraud security" checks are failing, meaning the Bluetooth device (Beacon or Spot) is not recognized. This can happen if the device is out of battery for too long. In this case, Fluida "overrides" the workplace settings and attempts to locate you via GPS to allow you to perform a certified clock-in.

To fix this, replace the battery if it's dead, then delete the Bluetooth device from the workplace and link it again.

Error: "STAMPINGS.INVALID_SIGNATURE"

This error usually appears when the internet connection is unstable or insufficient at the moment of clocking in.

  1. Check your data or Wi-Fi connection.

  2. Close and restart the Fluida app to force a new sync attempt.

  3. Try clocking in again once a good connection is established.

Error: "No clock-in rules assigned"

You have not been assigned any valid clock-in rules. 👉 Contact your manager to request an assignment.

The button doesn't trigger geolocation and asks for Bluetooth/Location

Ensure you meet all requirements for certified clock-in, such as enabling and authorizing GPS and/or Bluetooth.

  • If you clock in at the workplace, check the requirements for GPS or Bluetooth workplace clock-ins.

  • If you clock in remotely, check the requirements for remote GPS clock-ins.

Error: "Bluetooth is disabled"

If you see this, you likely selected "Not now" when prompted to activate Bluetooth. Click Back and enable Bluetooth to perform a certified clock-in.

💡 If you click Force clock-in, you will record a manual, non-certified entry, which will notify your approver.

Error: "Bluetooth permissions not enabled"

You likely selected "Don't allow" when prompted for Bluetooth permissions. Click Back and grant Fluida access to Bluetooth.

Error: "Location services are disabled"

You likely selected "Not now" when prompted to activate location services. Click Back and enable location services.

Error: "Location permissions not enabled"

You likely selected "Don't allow" when prompted for location permissions. Click Back and grant Fluida access to your location.
