Fluida’s Clock-in clock-out feature lets employees record the start, end, and breaks of their workday in real time, whether they are on-site or working remotely. To get started, an Administrator or Power User must configure the feature. Here is a summary of the steps to follow.
Enable the Clock-in clock-out feature
First, activate the feature. Go to Company > Settings > Clock-in clock-out, switch the Enable feature toggle to on, and click Save.
Set company-wide clocking rules
Clock-in rules define how employees record their time on-site and remotely, where they are allowed to clock in from, and how many daily entries are expected.
First, set your company default clocking rules. These will be automatically applied to all new users added to the company. To do this, go to Company > Settings > Clock-in clock-out, choose your rules, and click Save.

Create clock-in locations
Create and configure all company locations. Make sure every address is accurate and includes the street number, especially if you plan to use smartphone GPS for clocking in.
To create a location, go to Company > Workplaces > Add. Fill in the name, address, and weekly closing days, then click Save.
Get and configure clock-in devices (optional)
For on-site recording, you don't need physical hardware if you use GPS clock-in. Simply enable GPS for the location and authorize users to clock in there.
However, devices are necessary if you want to restrict clocking in to a specific physical point within the building. You can choose between:
Fluida Spot: Allows verified smartphone clock-ins within 10 meters of the device.
Fluida Station: Requires NFC Badges; users clock in by tapping their badge on the device.
These devices are available through Fluida's rental service. To start a rental, go to Company > Settings > Subscription > Add-on services > Clock-in devices, select Fluida Spot or Fluida Station, and follow the instructions. Delivery usually takes 3–5 business days.
Once you receive your device, you must pair it with its assigned location. Follow this procedure for Fluida Station (remember to also assign the NFC Badges to the users) or this one for Fluida Spot.

Add users and personalize their clocking rules
To allow employees to clock in and use other Fluida features, invite them to the company. Go to Company > Settings > Users > Add user.
You can customize clocking rules for each person during the invitation process or at any time later. This is essential if:
Existing users: You or other Power Users were already active before the company rules were set (defaults are not applied retroactively).
Specific needs: Certain teams or individuals have different requirements than the rest of the company.
GPS Areas: You chose "Enabled areas only (GPS)" for remote work, which requires setting up personal work zones for each user.
Multiple locations: Users need authorization to clock in at locations other than their primary office.
NFC Badges: You chose the Badge option and need to assign a unique code to each user.
To customize a user’s rules, go to Company > Settings > Users, click on the User, expand the Timestamp section, update the rules, and click Save.
All set!
The feature is now configured. You and your team can start recording your workday using smartphones or NFC Badges, based on the rules you’ve established.
