Attendance data provides a summary of ordinary working hours, overtime, and absences recorded by an employee over a specific period, categorized by reason. Exporting this data allows you to analyze workforce operations, archive records, and share information internally or externally—for example, for payroll processing or managing contract workers.
In Fluida, exports can be performed by individual users for their own data or, depending on roles and permissions, for multiple people or even the entire company (e.g., for generating payslips).
Export your own attendance data
Before you begin:
Ensure the Attendance Management feature is active.
If you have a Standard profile, ensure the Simplified visualization feature is not enabled for your company.
Every user can export their monthly attendance and clock-in data in Excel format. To do so:
If the Excel file is not ready to download directly to your device within 20 seconds, it will be sent to you via email. Once downloaded, the data is ready for analysis or sharing.
Export attendance data for multiple people
Before you begin:
Your user profile must be authorized to export attendance data for others.
Ensure the Attendance Management feature is active.
If Smart Clock-in is active, ensure you have corrected all anomalies on the calendars of the individuals you wish to export.
To export attendance data:
Go to Company > Organization > Report and data.
Select Export next to Attendance management.
Choose whose data you want to export. Depending on your permissions, you can select:
Specific person: Select the individual.
The whole company: To export data for all users.
Team: Select a specific team.
Workplace: Select a specific business location.
Choose the Period (Monthly or Annual).
Select the File type.
Select the Formatting: choose between Hours and Minutes (
hh mm) or Decimal (e.g., 1h30m =1.5).Select Export to download the file.
If the file is not ready within 20 seconds, it will be sent via email. Make sure to select the correct period (monthly vs. annual) based on the specific file type you are exporting.
Troubleshooting: What Could Go Wrong?
I can't download the data. I get the error "An error occurred during data export"
If you are exporting a file for other third-party software, verify that all required External IDs have been entered. Additionally, for payroll software integrations, ensure you have selected a Monthly export rather than Annual.
The exported file is empty
If using third-party payroll software, ensure all required External IDs are filled in.
There may be no exportable data for the selected period. This happens if the person was not yet active in Fluida, had no assigned work schedule, was not part of the exported team/location at that time, or had no recorded clock-ins or justifications.
I exported by Team or Location, but a specific person is missing
Check how team and location filters function in the documentation.
Specifically for Team filters: individuals without a contractually assigned work schedule or shifts assigned via "Shift Change" or "Planning" will not appear in the exported file.
When I download Annual data, I only see months from the start of the year to the current month
Future attendance data is considered a projection. To prevent the export of "unreliable" data, Fluida restricts exports for future months.
Workaround: If you need to export future data (e.g., for summer leave projections), export the data month by month. Once completed, these months will then appear in the Annual export.
